This policy explains how Bairnkine Cottages collects, uses and protects your personal information when you book with us, enquire about a stay or experience, or use this website. We take your privacy seriously and handle your data in line with UK data protection law — the UK GDPR and the Data Protection Act 2018.

The information we collect

Depending on how you interact with us, we may collect:

  • Booking and contact details — your name, postal address, email address, telephone number, the names and number of people in your party, and any access requirements or special requests you tell us about.
  • Payment information — taken securely by our booking and payment providers. We do not store full card details ourselves.
  • Enquiry information — anything you send us through our contact, travel trade or farm education enquiries, or by email or phone.
  • Marketing preferences — whether you have agreed to receive offers and news from us.
  • Website and device data — information collected automatically through cookies and similar technologies, such as your IP address, browser type, the pages you view and how you reached our site (see ‘Cookies and similar technologies’ below).

How we collect your information

We collect personal data when you make a booking (directly or through our online booking systems), complete an enquiry or contact form, email or telephone us, connect to our guest Wi-Fi, or browse this website. Some data is provided directly by you; some is collected automatically by cookies and analytics tools.

How we use your information

We only use your personal data where the law allows us to. The main ways we use it, and our lawful basis under the UK GDPR for doing so, are:

  • To manage your booking and provide your stay or experience — to perform our contract with you.
  • To respond to your enquiries — for our legitimate interest in answering people who contact us.
  • To take payment and keep financial records — to perform our contract and to meet our legal obligations, such as tax and accounting.
  • To send you marketing, offers and news — with your consent, which you can withdraw at any time.
  • To run, secure and improve our website and understand how it is used — for our legitimate interests, or with your consent where required for non-essential cookies.
  • To meet our legal and regulatory obligations — where we are required to by law.

Marketing communications

We will only send you marketing emails or offers where you have agreed to receive them, or where you are an existing customer and we are telling you about similar services — in which case you can opt out at any time. Every marketing email includes an unsubscribe link, and you can also ask us to stop at any time by emailing mail@bairnkinecottages.co.uk. We will never sell your personal data.

Cookies and similar technologies

Like most websites, we use cookies and similar technologies to make the site work, to understand how it is used, and — where you agree — to support our advertising. They fall into the following broad categories:

  • Essential cookies — needed for the website and booking process to function. These do not require your consent.
  • Analytics cookies — help us understand how visitors use the site so we can improve it, for example Google Analytics.
  • Advertising cookies — used to measure and improve our advertising and to show relevant ads, including remarketing, for example Google and Meta.

Non-essential cookies are only set with your consent, which you give through our cookie banner when you first visit. You can change or withdraw your choices at any time through the cookie settings on our website, or by adjusting your browser settings.

Advertising and analytics

We use third-party advertising and analytics services to promote Bairnkine and to understand how our marketing performs. These may include:

  • Google — Google Analytics for website measurement, and Google Ads, including conversion tracking and remarketing.
  • Meta (Facebook and Instagram) — the Meta Pixel, for advertising measurement and remarketing.
  • Other social or advertising platforms we may use from time to time, such as LinkedIn.

Where these services are used for advertising or analytics, they are only enabled with your consent through our cookie banner. These providers may set their own cookies and process data as independent controllers under their own privacy policies. You can also control personalised advertising through your Google and Meta account settings.

Who we share your information with

We share personal data only where necessary to run our business, and always under appropriate safeguards. This may include:

  • Our booking providers — SuperControl (cottage and pitch bookings) and FareHarbor (farm tours and experiences).
  • Our payment providers, who process card payments securely.
  • IT, hosting, email and website providers who support our systems.
  • Professional advisers, such as accountants, where required.
  • Public authorities or regulators where we are legally required to share information.

We require anyone who processes data on our behalf to keep it secure and to use it only for the purposes we specify. We do not sell your personal data.

Transfers outside the UK

Some of our providers — including Google, Meta and certain booking or hosting services — may store or process data outside the UK, including in the United States. Where this happens, we take steps to ensure your data is protected to the standard required by UK data protection law, for example by relying on UK ‘adequacy’ regulations or appropriate contractual safeguards such as the International Data Transfer Agreement.

How long we keep your information

We keep personal data only for as long as we need it. Booking and financial records are generally kept for up to seven years to meet tax and accounting requirements. Enquiry and marketing data is kept until you ask us to delete it or withdraw your consent, after which it is removed within a reasonable period. Website and analytics data is kept in line with the settings of the relevant analytics tools.

How we keep your information secure

We use appropriate technical and organisational measures to protect your personal data against loss, misuse or unauthorised access. Payment details are handled securely by our payment providers and are not stored by us. While no online service can be guaranteed completely secure, we take reasonable steps to safeguard the information you share with us.

Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
  • ask us to delete your data in certain circumstances;
  • ask us to restrict or object to how we use your data;
  • ask for your data to be transferred to another provider (data portability);
  • withdraw your consent at any time, where we rely on consent.

Guest Wi-Fi

If you use our guest Wi-Fi, please also see the Wi-Fi terms in our booking conditions. We may be required to provide connection information to our internet service provider or to a relevant authority where we are legally obliged to do so.

Children’s privacy

Our bookings are made by adults. Where children take part in farm education visits or experiences, any personal data about them is provided and managed through the responsible adult, school or organisation, and is used only for arranging and running the visit.

We may update this policy from time to time. The current version and its date are shown below. Please check back occasionally to stay informed about how we protect your data.

If you have a concern about how we handle your personal data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk or by calling 0303 123 1113.
